Pages allowing visitor submissions

Some of our web pages include features allowing visitor submissions. Our Contact page is one example, our Career page is another, where job applications can be submitted. We may enable similar features on other specific pages, which will be clearly identified.

If visitors choose to make a submission, we collect the data as identified on the submission form. This may include your name, email, phone number, comments, and uploaded files, such as PDF files, images or other media. This data is collected in order to fulfill the specific request as shown, and is not used for any other purpose.

In the case of a job application, we will keep this data during the application process only, and delete it once the application has been processed to completion.

Pages allowing visitor comments

We may provide pages which allow visitors to publicly comment on the information presented. The following applies where this is the case and these features are used.

We may record the visitor’s IP address and browser user agent string to help spam detection. An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

If you upload images to the website, you should consider avoiding use of images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Cookies

We display a “Privacy Consent” bar across the bottom of the screen, this provides access to this policy, our terms of service, and options for accepting cookies. Where this option is accepted, we store a cookie with the name “privacy_embeds” which stores your consent options, related to allowing us to load third party embeds and tracking scripts. These features allow the site to operate fully, and embedded content such as videos can be shown. This cookie lasts for 30 days.

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

This website includes a hidden login page for our own maintenance purposes. If you visit this page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

This site includes a link to our ‘Customer Login’ – this opens an external link to our Aurora service. In order to progress into this service, credentials are issued separately and are subject to specific customer contracts.

Embedded content from other websites

Pages may include embedded content (e.g. videos, images, articles, maps etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

Who we share your data with

Outside of exceptions itemised in this policy, Symology do not share your data with other parties.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments. You can ask us if you wish to see, edit, or delete your personal data at any time. Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Where your data is sent

Visitor comments may be checked through an automated spam detection service.
